Policy for Alumni

1. ABOUT THE POLICY

            The Alumni Association of A.S. College, Khanna has been playing a great role in offering a platform to old students of the college to reconnect themselves with their alma matter and rekindle the flame of intimacy with the institution. In fact the college boasts of numerous dynamic well place alumni, who maintain regular link with the college through an active alumni association. The association is forever forthcoming to shoulder responsibility and support the different initiatives of the college in its relentless pursuit of achieving excellence of all the fields.

 

2. VISION

            To bring together the alumni community on a common platform for the overall development of the institution.

 

3. MISSION

            To connect alumni and college with a credible, independent and collaborative voice.

 

4. OBJECTIVES

  1. To further and foster the spirit of affection, brotherhood and comradeship amongst the alumni of the college.
  2. To nurture and enhance the interests of A.S. College, Khanna in general.
  3. To arrange social, cultural and sports functions.
  4. To publish books, papers, journals, news bulletins for the fulfilment of the aims of the Association.
  5. To provide a forum for the alumni of the college for exchange of ideas and views on educational, cultural and academic issues of the day.
  6. To look after the interests of the alumni of the college.
  7. To help brilliant and needy students of the college in their academic / career pursuits.
  8. To do all other acts in furtherance of the aims and objectives of the Association.
  9. To open branches of the Association in other towns, including towns in foreign countries.

 

5. STRATEGIES AND ACTION PLANS

(i) Membership: The followings categories of persons are entitled to be enrolled as members of the Association:

  • Persons who have been student of A.S. College Khanna for at least one year and appeared in the annual exams provided that they must have left the college at least five years back.
  • Persons who are or have been on the teaching staff of the college.
  • Persons who are or have been members of the Managing committee of A.S. High School Trust & Management society, Khanna.
  • The governing body may accept any other person as a member as a special case.
  • Subscription for membership ₹200 payable in one instalment. The governing body may request the members from time to time to make such subscription as it may decide for furtherance of the aims and objectives of the association.

 

(ii) Patrons: Any person who has excelled in his field of work and is eligible to become a member of the association may be adopted as patron of the association. The patron occupies a position of eminence in the association and will looks upon as a guide and philosopher of the association. The association seeks his blessings and advice from time to time. The following were the founding patrons of the association:

  • S.S. Kang, Governor of Kerela
  • S.D.S. Mangat, DGP (Retd.)
  • S. Bharpur Singh, Ex-Chairman, PSEB
  • Sh. Pawan Sharda, Industrialist, Mandi Gobindgarh
  • The governing body may adopt any other personality as a patron of the association. However, total number of patrons does not exceed 10.

 

(iii) Meetings of the Association: At least one meeting of the association is held in each calendar year which called the AGM. Other general body meetings may be called by the General Secretary on directions from the president and special meetings shall be called by the president on a written requisition signed by at least 10% members of the association. The president of the association or in his absence the vice president presides over the meetings of the association, in the absence of both of them working president act as chairman of that meeting.

 

(iv) Meetings of the Governing Body: At least two meetings of the Governing Body are called at least once every six months. Special meetings shall be called by the president on receipt of a written requisition signed by at least 17 members of the Governing Body. 14 members of the Governing Body shall constitute the quorum. However, for an adjourned meeting no quorum shall be necessary. Meetings of the association are called at a notice of at least 15 days. However, in case of emergency a meeting can be called at a shorter notice.

 

(v) Procedure for Financial Operations: A separate bank account in the name of A.S. College Alumni Association is opened with a scheduled bank. The account is operated jointly by the president and the working president. The president may authorised the vice president or any other office bearer of the association to operate the account on his behalf. The account books of the association are maintained by the college office and expenditure is incurred after the sanction of the president. In the end the association ceases to functions due to any reason or the meetings of the association are not held for three consecutive years the funds of the association are transferred to the students welfare account of A.S. College Khanna.

 

6. MONITORING AUTHORITY

The following are the office bearers of the association:

(i) President: President is nominated by the outgoing president in consultation with the members of the governing body for a term of three years. There is no any bar to re nomination of the present incumbent if governing body desires the same by simple majority. However, the same person does hold this office for more than two terms consecutively.

 

(ii) Vice President and Auditor: Vice president and auditor is nominated by the president for a term of one year which may be extended at the pleasure of the president.

 

(iii) Working President: Working president is Principal of the college.

 

(iv) General Secretary: General secretary is secretary of the college.

 

(v) Secretary: Secretary is Dean of alumni relations

 

The president may nominate other office bearers like press secretary, sports secretary, cultural secretary out of the members of the governing body.

            The Governing body of the association shall consist of 51 members including the office bearers. The members of the governing body are nominated by the president for a term of three years. The governing body is frame by-laws of the association.

 

Duties and Functions of Office Bearers: The president presides over the meetings of the association and meetings of the governing body. The president is the custodian of the property and interests of the association. Vice president performs the duties and functions of the president in the absence of the president or on the disability of the president. Working president maintains the records and documents of the association. General secretary calls and arrange meetings of the general body and the governing body of the association on the directions of the president .Secretary will record the minutes of the governing body and the association and also maintain an up- to- date register of the members of the association. The Auditor shall prepare an audit report for each financial year and submit the same to the president.
